# Guests

> Create, search, edit, archive and restore guests — the people who stay in your units and are linked to reservations.

## What is a Guest?

A **guest** is a person who stays at one of your properties. Guests live in a single directory per workspace, and every reservation links one or more guests to a unit for a date range.

You'll find them under **Reservations & Guests → Guests** in the sidebar. Guests are part of the reservations add-on, so the entry only appears when bookings are switched on for your account.

  Guests are not the same as **Contacts**. Contacts are the people who *manage* your properties — team members, co-hosts and collaborators, each with roles and permissions in your workspace. Guests are the people who *stay*. They are separate lists, and a guest never gets access to your workspace.

## What is on a guest profile?

Travel-registration details such as date of birth, nationality, ID document number and home address are not part of the profile. Where local tourist-tax rules require them, the guest fills them in themselves through a secure **Guest data form** link, and they stay attached to that stay.

## How do I create a guest?

    Choose **Guests** in the sidebar.

    Click **Create guest** at the top right of the page. On a phone or tablet, use the round **+** button in the bottom-right corner instead.

    First name, last name and email are required; phone is optional.

    The guest appears in the directory straight away and is ready to attach to a booking.

You can also create a guest without leaving the booking you are working on. The **Guests** section of a reservation has its own **Create guest** button, and the new guest becomes selectable in that reservation's guest picker immediately.

<Tip>
  Search before you create. A returning visitor should be attached to their existing profile so their stay history, notes and messages stay in one place instead of splitting across duplicates.

## How do I find a guest?

The list shows one card per guest with their initials, email and phone. A green badge counts their active reservations; a red badge counts unread messages from them.

* **Search** — type in the search bar above the list to filter by name or email. Results update as you type.
* **Archived** — flip the **Archived** toggle to swap between active and archived guests.
* **Scrolling** — more guests load automatically as you scroll, so there are no page numbers to click.

## What is on the guest detail page?

Opening a card gives you three tabs:

* **Profile** — personal details and notes. Click any field to edit it in place; the change saves when you leave the field and a toast offers **Undo**. If a colleague is editing the same field, you'll see it locked with their name on it.
* **Activity** — when the guest was created and last updated and by whom, total nights stayed, and how many reservations are currently active.
* **Danger Zone** — archiving, or restoring an already-archived guest. It only appears if you have permission to delete guests.

## How do I archive and restore a guest?

Deleting a guest **archives** them: they leave your active directory but nothing is destroyed. You'll be asked to type the guest's full name to confirm.

To bring them back, switch the **Archived** toggle on the guest list, open the guest, and use **Restore guest** in the last tab. They return to your active list with their history intact.

## Common use cases

* **Repeat visitor returns** — find the existing profile in search and attach it to the new booking, so total nights and past notes carry over.
* **Walk-in booking** — create the guest inline from the reservation's Guests section instead of switching pages.
* **Housekeeping preference** — record allergies, arrival quirks or access instructions in the private **Note** field.
* **Tidying the directory** — archive one-off guests you no longer expect back, and restore them if they book again.
